Terrain Mat Orders • Terms and Conditions

Terms and conditions in the first section apply generally to all terrain mat orders.  The latter section applies to custom and commissioned work.  Placing an order affirms your agreement to these terms and conditions.

GENERAL TERMS FOR TERRAIN MAT ORDERS

Payment Processing

All payments from the Shop page are processed by PayPal on their secure portal.  A PayPal account is not required, as they allow you to check out as a guest and pay using a credit card.  We do not view, collect, or receive your payment details or any account information.  We are only able to ship to the address connected to your PayPal payment, so please make sure it is correct.

Delivery Estimates

All mats are produced to order, and we do not have finished stock matching your selections on hand and waiting to ship.  Please email us if you require an estimate on turnaround time before ordering.  You may also email us to check on the status of your order.

Shipping

Shipping charges are based on your location, the typical weight of the mat type/size ordered, and the size of the package used for that mat type/size.  We ship at a price as close to cost as possible, and all packaging and handling is included in the base mat price.  We generally ship by Priority Mail.  Orders shipped within the US have a cheaper retail ground option; however, it is often much slower and often only pennies cheaper, so we recommend you choose Priority.

International Orders

We ship all international orders by Priority Mail and are only able to ship to locations served by this service.  If we find we are unable to ship to your location, we will simply refund your payment and notify you.  It is not possible to correctly estimate all import duties, Value Added Taxes, or any other tariff or customs fee that might be assessed and applied to your order.  We do not collect or remit these fees, nor are we able to estimate them for you.  Your payment to us is only for a mat and applicable shipping costs.  Any additional taxes and fees are wholly the buyer’s responsibility, and may be owed to your local authorities before your order is delivered.  We find that Priority Mail shipments do generally arrive in a timely manner, but we are not responsible for delays in transport or customs.

Refund and Return Policy

We allow returns on all mats because we will likely be able to offer them to another buyer at a discounted price.  If you are unhappy with the mat you receive, ship it back to us within 30 days of delivery.  We will process your refund for the full amount of your order once the mat is returned in sellable condition.  The full cost of return shipping is solely the buyer’s responsibility.  Without exception, no full or partial refunds will be granted for mats that are not returned in a sellable condition.  If an item is damaged in the mail, let us know as soon as possible and email photographs of the packaging and mat if you are able.  We can file an insurance claim with the courier and refund you for items ruined in transit.

Cancellations

If you decide to cancel a mat you have ordered before it is completed, we can issue a refund for the full amount of your order.  We retain the right to complete the work without restriction for promotional, commercial, or personal use, if we wish to do so.

Material Safety Notice

Like your dice and miniature figures, terrain mats are a gaming accessory and not a toy.  Mats are not intended for young children, and may include small pieces (such as molded artificial rocks) that might present a choking hazard if torn off and eaten.  We make every effort to avoid hazardous and harmful materials and to build mats using demonstrably safe and non-toxic materials.  The acrylic-latex texturing compound does not contain the natural tree form of latex, nor is any other component likely to present any allergic response.  We recommend the mat be rolled up and put away when not in use to minimize contact with pets or small children.  We assume no responsibility for unforeseeable rare occurrences which might cause harm.

Privacy Notice

Once your project is completed we will not use your contact information for marketing purposes or to contact you again for any reason unrelated to your completed project.  We will never share your contact information with third parties unless compelled to do so for some unlikely legal reason.

Other Terms as Negotiated per Instance

ADDITIONAL TERMS FOR CUSTOM COMMISSIONED WORK REQUIRING QUOTES

Please read the following terms and conditions before requesting a quote for custom work.  These terms are supplemental to the general terms above, and supersede them where different.  By proceeding with a request, you acknowledge that you understand and agree to these terms and conditions as a general contract for commissioned work.  Requesting and receiving a quote does not obligate you to proceed with a commission.  To commission work, you MUST be of a legal age to enter a contract.

Price Estimates

The biggest consideration in the price is the time it takes to complete.  We are not always able to give set rates as everything is variable depending on the scope of the project, the level of detail you need, how quickly you need it finished, and other factors.

The accuracy of the quote we provide you is limited by how well you describe your needs.  A quote is just a number, but that number is often reached by way of a complicated equation.  We may need to ask a few questions before we can arrive at a quote unless you’ve accounted for everything we might need to know in your initial description.

Quotes are provided as estimates only, and the actual price may be adjusted up or down as work progresses.  In the event any increase above the quoted amount is necessary, we will communicate to you the reason for this, and you will have the opportunity to agree either to an increase in the price or to a compromise in the work we are providing.

Due Date Estimates

Please inform us of your timeframe in needing finished work, in the form of a requested specific due date.  We will inform you as to how soon we are available to begin a project and provide our best estimation of when we can complete the work.  Pricing is subject to upward adjustment if we are required (and able) to push aside other work to meet a sooner deadline than normal scheduling allows.  However, your need in no way obligates us to rearrange our schedule.  If we are too solidly booked and you cannot wait, there are other people out there who might help you.  We reserve the right to politely decline any commission (or quote) request.

COMMISSIONED WORK PROCEDURES

Invoices, Deposits and Partial Payments

When we agree to terms on work, price, and deadlines you will be sent an invoice for the quoted price.  At our discretion, a non-refundable deposit may be due at the start of the project in order to begin work.  If a deposit is required, work does not begin until the deposit is paid, regardless of the stated due date.  You may pay any of the remainder at any time before the due date.  Full payment of the invoice remainder is due before your order will ship.

Proofs and Communication

When helpful or necessary, we may provide digital mock-up/layout sketches prior to building, or photographic proofs at certain stages of the work to receive your approval that we have the right idea and should proceed in that direction.  It is necessary that you remain in communication to approve proofs or answer questions while your project is in progress.  We are not responsible for any deadline that may be missed due to any lack of timely responses on your part.  If we misunderstand your instructions, please point out the error and we will correct our work.  If you give new instructions that contradict previously-issued instructions, any work required to comply with the new instructions may incur additional charges for time, if necessary, at our discretion.

Instructions vs Artistic Autonomy

Your instructions are important, and they must be communicated.  We will assume you are paying us to design terrain because you want us to make artistic decisions and nuanced choices with freedom to interpret the project in our own unique way.  If we have questions, we will ask you.  However, we may assume in some instances where you omit instructions that you are leaving that decision to us.  If you have stringent requirements for layout and colors and expect the product to match exactly the vision in your own mind, please communicate this at the start.  Numerous proofs would then be required at every stage to minimize wasted time and do-overs.  Requirements that existed in your mind but were not communicated to us may be treated the same as contradictory new instructions (see above).  “I wanted to see what you came up with before I told you what I actually wanted” is never a good strategy, and will likely result in additional charges for our time.

STIPULATIONS

Cancellations of Custom Work

If you decide to cancel work you have ordered before it is completed, we will cancel your invoice.  If your invoice was paid in full and did not include or require a deposit, your payment is refunded in full.  If your request was quite specific and unlikely to be generally sellable or of interest to other potential buyers, you may have been asked to pay a deposit on the work, and in this case any non-refundable deposit you may have already paid remains non-refundable.  We retain the right to complete the work without restriction for promotional, commercial, or personal use, if we wish to do so.
